After the interviews, you've narrowed the number of candidates still under consideration for employment. Before you finalize your decision and make an offer, it is critical to verify the information given to you by the candidate. The following is a step-by-step procedure for finalizing your selection.

Step 1

Check references and former employers of your final candidates

Prepare reference questions in advance. Your questions should reflect the job requirements for the position.

Call references and ask specific questions about the candidates' background, skills and qualifications.

Step 2

Making the employment offer

We recommend you prepare the letter notifying the candidate of the offer and the terms and conditions of employment.  If a background check is required, the letter should also notify the candidate that the offer is contingent upon successful completion of a background check.

The requirement for background checks varies from campus to campus.

OUHSC: Background checks are required for all external hires.

OU: Background checks are required for persons hired, promoted, or transferred into positions considered safety, financial or security sensitive.   

If a check is required, have the candidate complete the authorization form. Send completed form to your campus Employment office.

You will be notified upon completion of the background check. If the record is clear, finalize the employment process.

Step 4

Finalize the hiring process

OU: Follow the Hiring Managers Guidelines and submit the Personnel Selection Report to HR. The system will then automatically close out your listing and send automatic "job filled notifications" to your unchosen candidates for you.

OUHSC: Hiring departments are expected to send notice of their decisions to candidates. Click here for letters in the letter template library that may be sent to unselected candidates.

All campuses: Submit the appropriate personnel action form (ePAF, online PAF, or paper) to finalize your hire.
