D2. First Day

The following tasks and resources are suggested to ensure a smooth and welcoming first day for new team members.

Supervisor Welcome

  • Personal Welcome: Meet and personally greet the new team member.
  • Job Description Review: Review their job description, providing opportunities to ask clarifying questions.
  • Orientation Plan Overview:
    • Share the orientation plan, including documents, resources, and schedules outlined in the "Two Weeks Before Start Date" section.
    • Explain the purpose, goals, and expectations for completing the department’s orientation program.
    • Allow time for clarifying questions.
  • Key Contacts: Provide a list of key contacts for orientation and ongoing support, such as:
    • Orientation Partner, Tier 1 Specialist, Payroll Coordinator, HR Colleague, and the Safety Coordinator.
    • Schedule an ergonomic workstation assessment with the Environmental Health and Safety Office (EHSO).
      • Link to the Environmental Health and Safety Office Website.

Schedule Overview

  • First Day Schedule: Share the day’s agenda and location/online access details for scheduled meetings.
  • First Week Schedule: Provide an outline of meetings planned for the first week or that they need to schedule.
    • Introduce preferred scheduling tools and formats, along with guides and support options.
    • Assist with setting up their initial meetings, if needed.

Orientation Partner

  • Introduce the new team member to their Orientation Partner.

Access to Resources

  • Ensure access to necessary folders, servers, and documents. Contact relevant individuals for assistance if needed.
  • Share instructions for accessing computers, telephones, and other equipment.
  • Introduce OU Leadership and department leadership or provide relevant materials.

Policies and Procedures

Campus Orientation

  • Guide them on enrolling in myOU Live Orientation and Benefits session through the Training Calendar.

Department/Building Tour

  • Provide a tour of the department and building, including:
    • Restrooms, breakrooms, weather refuge areas, fire extinguishers, emergency exits, local lunch options, vending machines, supply rooms, first aid/emergency supplies, and the mailroom.
    • Review the department’s emergency exit plan and provide related documents.

Meet and Greet

  • Optional: Take the new team member to coffee or lunch as a supervisor or team, or schedule this during their first week.

End-of-First-Day Follow-Up
